Crawford Woodwind Studio Policy and Procedures

This policy becomes effective August 1, 2019 and replaces all policy and procedure documents previous to this date.  Enrollment in the studio indicates full acceptance of and agreement to all policies stated within.

Lessons:

  • Lessons will be held via the internet.
  • Lessons will be conducted in private weekly sessions of 45 minutes each.
  • Failure to attend a lesson without prior notification will result in a forfeited lesson.
  • Failure to login on time will result in an abbreviated lesson.  The lesson will not be extended beyond the scheduled time.
  • Make up times will not be available for either forfeited or abbreviated lessons.  
  • Missed lessons with the proper advanced notification will be rescheduled at a later date.
  • Lessons will not be taught on Sundays or holidays for any reason


Payment:

  • The studio provides for 40 lessons per year per student, which is paid in 12 monthly installments.   An invoice will be e-mailed to each student or parent approximately one week prior to the first day of the month.  This invoice will have a "Pay Invoice" button, which will show the options available for electronic payment.  
  • For those of you who do not use credit cards, you may pay by using your bank's online bill pay service or by writing a paper check.  Please remember, that if you are writing a paper check, the check must arrive no later than the first day of the month or a late fee of $25.00 will be automatically added to your account.  Returned checks will incur a fee of $35.00 to cover the bank charge levied on Crawford Woodwind due to the returned check.  
  • No refunds will be given for any reason, including withdrawal or dismissal from the studio.
Cancellation of Lessons:

If the need arises to cancel a lesson, please do the following:

                   (1)   Send a text message (423-677-2093) or an e-mail (oehlersystem1@gmail.com) stating the time and day of the                                     cancellation, the reason for the cancellation, and requesting whether you wish to reschedule or forfeit the lesson.
                 (2)  Twenty-four hours is considered proper advance notification of cancellations.
                    (3)   Rescheduled lessons will be discussed at the next regularly scheduled lesson.


Lesson Preparation and Involvement in Other Activities:

While students are encouraged to participate in a variety of activities, COMMON SENSE MUST PREVAIL.  Daily practice on materials assigned is expected in order to be adequately prepared for the next lesson.  Organize your time well.  Most importantly, once a lesson is scheduled, do not override it with another activity.  

Instrument Care and Purchases:

Instruments are expected to be maintained in concert-ready condition.  Repairs must be done in a timely manner by an experienced repairman and must meet the approval of both the player and Mr. Crawford.  All musical purchases should be approved and cleared by Mr. Crawford prior to purchase.  This procedure is to maintain good quality and to avoid needless expenditure to the student.  Inferior products are NOT acceptable in the studio.  


Auditions for Honor Ensembles:

Each student is expected to audition for and to attend any situation for which he is eligible.  Students are required to attend these situations once they have auditioned and have been accepted.  Auditioning with no plans to attend is a waste of time.  


Public Performance:

Public performance is greatly encouraged.  Performances must be of the student's highest level and must be approved by Mr. Crawford.  Both the soloist and the accompanist must be approved by Mr. Crawford.  


Inclement Weather:

Cancellations will only take place if internet connections are not working.


Vacation and Extended Absences:

All lessons must be held prior to the planned absence.  Do not delay in notifying me of the extended absence.  Text or email will suffice.  Lessons that are left uncompleted will be considered forfeited.  No lessons will be carried over to the month of July.


Permanent Dismissal from the Studio (Very Rare):

Dismissal is a serious matter and not a frivolous or common practice.  Students who are permanently dismissed will not be allowed to re-enroll in the studio and any letter of support or recommendation will be immediately rescinded.  The parties to whom the letters were originally written will be fully informed as to why the support has been withdrawn.  Reasons for dismissal include:

  • Threatening, abusive or violent behavior by the student or parents
  • Failure to comply with studio policy
  • Failure to attend or participate in performance functions for which studio time has been dedicated
  • Attending the lessons under the influence of alcohol or drugs
